New Library policy

Over the years, our guild library has been a good source of patterns and information for our members. Because in the past few years we have grown so much as a group, it is now more difficult to run our library with as few rules as we have had in the past. We want to help our members get the most from our library by keeping losses to a minimum and by insuring that materials are not removed from circulation and away from the majority of members for long periods of time. For this reason, a new library policy is being instituted. This policy will go into effect in the new fiscal year which begins in January 2007.

Limit on items borrowed: A limit will now be imposed on the borrowing of items. A maximum of four items may be borrowed in any one month.

Limit on length of time items may be borrowed:In the past, a member could borrow an item for one month only, but if circumstances prevented the member from coming to the next meeting, two months was not considered too long to keep the item. With that in mind, we ask that if you finish with an item in one month, that you return it at the next meeting, but you may keep it for a second month without the item being considered overdue. After two months the item will be considered overdue and fees will be assessed.

Fees: Items will be charged two dollars for each month that they are late.

Borrowing privileges suspended: Members with overdue items will have their borrowing privileges suspended until the overdue books are returned and any outstanding fees paid.

Seriously overdue books: To mimimize losses, the guild will bill members for the price of items that are seriously overdue. A seriously overdue item is one that is four months late. This means the item is gone for six months (two months of borrowing privileges and four overdue months). After the item has been out for more than six months (that is, four months overdue), a replacement will be purchased by the guild and the borrower will be sent a bill for the price of the item. After an item is billed it cannot be brought back. Duplicate copies of items will already be in the library if the guild feels it should own more than one copy. If the bill is not paid, guild membership will be suspended until which time the member remits payment. The member will then be reinstated.
For items still in print: The guild may purchase items locally or order from a catalog. Members will be responsible for any tax, shipping and handling if it is charged to us.

For items out of print: The guild will acquire these items if possible. This means that the cost may be well above the original purchase price as they may be difficult to obtain. The member will be billed the amount it costs to replace the item, up to double the original list price of the book.

Borrowing is a privilege and a responsibility. If you have books that are due in any given month, you must arrange to get the books back even if you cannot come to the meeting. You may mail the books to the librarian, bring them to the librarian's house or give them to a friend who will be coming to the meeting.

After much discussion, your guild board has decided to take this step (instituting this new policy) as a necessary one, so all of our members can continue to get maximum benefit from the dues we pay- the dues that help to make our guild a vital group for all of us.
